Click any row in the item table (or pick a result from the search box) to open the Shopping Item Details window. It shows the client and property, the assigned technician, what the item is attached to (and the Job ID when it is a job), the linked invoice and its status (or – No Invoice Yet –), the Tech Pay setting with the calculated pay, the line item with its type, quantity, unit price and total, and the internal notes (labelled Notes (only for tech)). If the client has an upcoming visit, a banner at the top reads Service Due in N days.
Below the details, Item History lists everything that has happened to the item — Item Created, Item Updated, Marked as New / Purchased / Done, Item Invoiced — with who did it and when. A Last Activity bar near the top summarises one entry and has a View History link that jumps to the list.
From this window you can:
- Click Edit Item to open the Edit Item form. It has the same fields as Add Item, plus an On Invoice selector (when the item is already on an invoice) and a Delete button. Choosing a different invoice in On Invoice moves the line to that invoice; if the current invoice is already paid or written off, the field is read-only.
- Open More Actions for quick changes without editing:
- Follow — get notifications about this specific item (see Section 9).
- Mark as Purchased / Mark as Done — change the status in one click.
- Invoice Now… — create an invoice for the item immediately (client items not yet invoiced).
- Link Existing Invoice — pick one of the client’s open invoices (paid and written-off invoices are not offered). Tick Also create a new line item for this shopping item? to add the item as a line on that invoice; leave it clear to just record the link.
- Unlink Invoice — take the item off the invoice it is currently on. Remove shopping item from the invoice? is ticked by default and also deletes the line from the invoice; it is greyed out when the invoice is paid or written off, in which case only the link is removed.
- Delete — remove the item from the list. If the item is on an invoice, the confirmation reminds you that the invoice line is not deleted.
Note: Once you Unlink Invoice, PSS treats the item as one you want to invoice by hand: the automatic Item Invoicing (When Done) rules will not pick it up again. Use Invoice Now… or Link Existing Invoice when you are ready.
