A processing fee (sometimes called a convenience fee) passes some or all of the online-payment cost on to the client when they pay by card or bank. It is configured in Invoices → Configure → Fees, on the Processing Fees tab.
Turn on the Processing Fees toggle. You can set a separate fee for each online payment method using the Card and ACH sub-tabs:
- Fee Name — how the fee appears on the invoice (default Processing Fee).
-
Type:
- Flat fee for each online payment — a fixed dollar amount.
- Percentage of each online payment — a percentage of the amount being paid.
- Amount — the dollar amount (flat) or percentage (percentage type).
- Catalog Item (Required) — the catalog item the fee is recorded against.
Click Save. If some of your clients are currently set not to be charged a processing fee, a Confirm Client Settings dialog asks whether to leave clients’ processing fee settings as is or UPDATE ALL clients to be charged.
How a processing fee is applied. The fee applies only to card and ACH payments through your connected Stripe account—whether the client pays online or you charge their card or bank account from Record Payment—and never to cash or check payments. At the moment of payment, PSS adds the fee on top of the amount due, so the client pays the balance plus the fee, and the fee is recorded as a line item on the invoice. Clients see the fee before they confirm an online payment.
Example. On a $100 balance with a 3% card processing fee, a client paying by card is charged $103.00; the extra $3.00 is the processing fee.
Note: Processing fees require a connected Stripe account (see 6.3, Online Payment). They can be turned off for an individual client with Online Processing Fee? → No on the client’s profile, and a job template can be set not to charge them (see Section 3).
