- Go to Settings → QuickBooks Online.
- Click the green Connect to QuickBooks button (Intuit’s standard button). Your browser is redirected to Intuit’s sign-in page.
- Sign in to your QBO (Intuit) account.
- Choose or verify the QBO company to connect with PSS and proceed.
- Click Connect. You are redirected back to the PSS Settings page.
When the connection succeeds, a toast reads Successfully connected to QuickBooks and a green dot with Connected appears in the upper-right corner of the QBO settings page.
Note: Each PSS company connects to exactly one QBO company. If you manage multiple PSS companies, connect each one separately — switching companies in the top-left menu shows that company’s own connection state.
Disconnecting
You can disable the connection at any time, from either side:
- In PSS: Settings → QuickBooks Online → (Disable QBO) — the small link under the Connected indicator. A toast confirms Disconnected from QuickBooks.
- If you do not see the (Disable QBO) link, there is no active connection.
Disconnecting removes PSS’s authorization to talk to QBO. It does not delete clients, catalog items or invoices on either side, and the links PSS stored are kept, so reconnecting later picks up where you left off.
Note: While disconnected, any QBO changes still queued in PSS cannot be delivered. Reconnect before relying on the sync again.
Linked counters
Each of the 1. Clients and 2. Invoices headers shows a live tally of how much of your data is linked, e.g. (10 of 10 linked) for clients and (0 of 23 linked) for invoices. A checkmark appears when everything is linked. The counters reload after each action on the page; reload the page after large or background sync operations to refresh them.
