The Client Welcome tab customizes the messages your clients receive when you invite them. Three sub-tabs — Email, SMS Text and WhatsApp — are edited and saved separately.
- Subject — the email subject line. The default is Welcome to the Client Portal for %company_name%.
- Body — the message itself.
- Merge fields are listed above the body, each with a copy button. Click the button and paste the field into your text:
- %client_display_name% — the client’s display name
- %client_first_name% / %client_last_name%
- %client_email% — the client’s portal login
- %client_company_name% — the client’s own company name
- %company_name% — your company name
SMS Text
- One Text Message field, no subject, with a N / 160 characters counter — a text message longer than 160 characters is sent as more than one segment.
- The same merge fields, plus %company_portal% — your portal address. A text message has no clickable button, so leave this in: it is how the client reaches the portal. The hint under the field says so: “A hyperlink is inserted in the text message above. When it is clicked, the phone’s web browser should open up and your client will see their client portal.”
- Add “NO REPLY” text at the end — appends a no-reply notice so clients do not text back to a number nobody reads.
- WhatsApp invitations use pre-approved templates that cannot be edited — the badge reads Read-only template. This is a WhatsApp requirement, not a PSS limitation.
- Choose the tone that fits your business from three Template Variants: Formal & detailed, Friendly & standard, or Casual & brief.
- Message Preview shows exactly what the client will receive.
- If the tab shows WhatsApp not connected, connect WhatsApp Business in Settings first (Section 13 — Settings). When connected, the tab shows WhatsApp connected with the phone number and verified business name.
Click Save to store your changes — PSS confirms with Invitation settings saved.
