The Client Portal is priced by how many of your clients have portal access. The first ten are free.
| Plan | Portal clients | Monthly | Yearly (per month) |
|---|---|---|---|
| Free | 1 – 10 | $0.00 | $0.00 |
| Tier 1 | 11 – 100 | $19.00 | $16.15 |
| Tier 2 | 101 – 500 | $49.00 | $41.65 |
| Tier 3 | 501+ (unlimited) | $99.00 | $84.15 |
Billing notes:
- Paying yearly saves 15%, matching the discount on base subscription plans. The Yearly column above is the monthly equivalent of the yearly price.
- There is no activation or setup fee for the Client Portal module.
- The module bills on its own schedule, separate from your base plan, and appears as its own row in Billing History.
- The Free plan still has to be added. The ten free clients are a $0.00 plan you select and check out like any other — they are not granted automatically.
- The Free plan is monthly only. The Portal Plans table lists it at 0.00underYearlytoo, butwith * * Yearly * * selectedonthemodulecardtheFreeplandropsoutoftheplandropdownandthecard′spricereads * *–**; only the three paid tiers can be bought on yearly billing.
How your tier is decided:
- Your tier follows how many clients currently have portal access. PSS shows you the cheapest plan that covers that number.
- You may always buy a higher tier than your count requires — that is how you make room to invite more clients before you reach the limit.
- You cannot buy a lower tier than your count requires. Such a plan is still listed in the dropdown but greyed out, and hovering it explains why: “You have N clients with portal access, which exceeds this plan — choose a plan that covers them.” If your usage later shrinks into a smaller bracket, the smaller plan becomes selectable again.
- When your count grows past a tier boundary, the higher plan appears on the Subscription page with a warning above the price — “Your portal usage (N clients with portal access) has moved to this plan. Selecting it will replace your current Client Portal plan.” The card’s button reads Upgrade (or Downgrade when you pick a smaller plan) instead of Click to Add, and the new plan replaces the old one at checkout rather than adding a second module.
Note: Prices in the table are what PSS currently charges and are shown live on the Subscription page, which is always the authoritative figure. The client ranges per tier are fixed.
The 60-day free trial
Every company gets a 60-day free trial of the Client Portal, counted from the day the module is first added to the subscription — whichever plan you pick.
- No client limit during the trial. The slot ceiling is suspended on every tier, so a company on the Free plan can invite its whole client list. Settings → Client Portal says so in the header — N slots used — unlimited during your free trial until (date) — and in a banner headed You’re on the Client Portal free trial, with a View plans button.
- A paid plan is not charged until the trial ends, provided the portal is the only module on a brand-new module subscription. Checkout then shows a line Client Portal — 60-day free trial with First charge on (date), credits the amount from Total due today, and the module card afterwards reads Free trial · Monthly Plan · Tier 1 and Trial ends (date) — first charge then. Adding a paid portal tier alongside another module, or onto a module subscription you already pay for, bills from day one.
- Learn more on the module card shows the trial in the Portal Plans table: 60 Days free trial before you buy, or the end date once it is running, with a note that changing plan or billing cycle “doesn’t start a new trial or extend this one”.
- When the trial ends, your plan follows your usage. PSS counts the clients who have portal access on that day and, if the count is above your plan’s bracket, moves your subscription up to the plan that covers them and emails you — subject Your Client Portal Plan Has Been Updated. The banner during the trial tells you which plan today’s count would land you on. PSS only ever moves you up; it never downgrades you automatically, and it does this once per trial.
- To avoid an upgrade you do not want, revoke portal access for clients you do not need before the trial ends (21.6), or pick a plan yourself on the Subscription page.
Note: Switching billing cycle mid-trial can end it. Moving from monthly to yearly creates a new subscription that bills immediately unless it also qualifies for the trial; the Portal Plans table warns “Moving to yearly billing now would end it and start billing immediately, so it is worth waiting until the trial is over.” Yearly to monthly is a scheduled switch at the end of the period and keeps the trial running.
