Visit Tasks & Costs (titled Visit Settings inside the panel) defines what your technicians record on a visit: the water Readings they take, the chemical Dosages they add — including what each chemical costs you — and the Checklist Items they tick off. Each of the three tabs is organized into views, so a commercial pool can ask for different readings than a residential one. Every property is assigned the Default View of each tab until you change it.
The item list
Each tab shows the items of the selected view as a drag-and-drop list. For every item:
- Drag the handle on the left to change the order technicians see.
- Click the gear to edit the item, or the trash can to delete a custom item. Built-in items cannot be deleted.
- Show? — whether the item appears on the visit form in this view.
- Required? (Readings and Checklist Items) — whether the technician must complete it before finishing the visit.
- Required Interval (days) (Readings and Checklist Items) — leave empty for Required on every visit, or enter a whole number of days to require the item again only that many days after it was last done (for example a filter clean every 30 days). Enabled only when Required? is ticked.
- Cost Data (Dosages) — the cost of the chemical, as an amount per unit (for liquids: gallon, quart, cup or fl oz — or liter and milliliter on metric accounts; for solids: pound and ounce — or kilogram and gram; for counted items, a count). Cost data feeds the dosage cost exports and profit reporting.
- Catalog Item (for invoicing) (Dosages) — optionally link the dosage to a catalog item so it can be billed automatically when dosage invoicing is turned on (Section 3 and Section 12).
Click Save at the bottom to store the list for the selected view. Show, Required, the interval and the item order are saved per view; as the note under the view selector says, cost, unit and catalog item are the exception — they apply to the item in every view.
Click Add Item to create a custom item:
- New Reading — Name, Value Format, Slider Min Value and Slider Max Value (each with an option to enforce the limit on manually typed values), UOM (unit) and Slider Increments.
- New Dosage — the same fields plus a required UOM, a Description, and optional Related Dosages and Related Readings.
- New Checklist — a Name.
For built-in items the format and unit are fixed; you can still rename them and adjust the slider range.
Managing views
The view selector sits at the top of each tab, with Add View beside it.
- Click Add View, type a name and click the check mark. The new view starts as a copy of the view you were looking at.
- Adjust its items’ Show, Required and interval settings and click Save.
- Assign it to properties under Task Views (Service Routes) on the property record — Readings View, Dosages View and Checklist View are chosen independently (Section 1). Jobs pick their own task views on the job form (Section 3).
Use the pencil next to the selector to rename the current view and the trash can to delete it. The Default View cannot be deleted; deleting another view moves the properties that used it back to the Default View.
Note: Each tab keeps its own set of views. A property can use the Default View for Readings and a custom view for Checklist Items at the same time.
