WhatsApp Business lets PSS send visit reports, invoices and other client notifications through WhatsApp from your own business number. As the panel says, it is Free for all accounts. Meta requires every business message to use a pre-approved template, so PSS creates the templates for you and submits them to Meta; your part is to connect a number and choose the tone you prefer.
Connecting
- Click Connect WhatsApp.
- Choose how to connect:
- Connect the WhatsApp Business app I already use — keep using the WhatsApp Business app on your phone and connect that number. Requires WhatsApp Business app version 2.24.17 or newer.
- Set up a new WhatsApp number — create a new WhatsApp Business account with a number that is not already used in WhatsApp or WhatsApp Business.
- Complete the Meta sign-up window that opens. When it finishes, PSS shows WhatsApp Business connected successfully and turns the WhatsApp Business Integration preference on for you.
Note: If you close the Meta window early — for example right after adding a payment method — PSS reports Setup was not completed. Click Connect WhatsApp again and click Finish in the Meta window to complete the connection.
Connection status
Once connected the panel shows Status (Connected), Phone Number, Verified Name (the display name Meta approved) and Quality Rating (Meta’s rating of your number; Unknown until Meta has one). Disconnect WhatsApp unlinks the account after a confirmation; your account can no longer send WhatsApp messages, and the integration preference is switched off.
Notification templates
The Notification templates table lists each message PSS can send over WhatsApp, with a status per variant. Templates are created and submitted to Meta automatically — no setup needed. The templates are:
- Client Welcome — welcome to the client portal.
- Job Visit Completed — after a technician completes a job visit.
- Route Visit Completed — after a service route stop is done.
- Route Visit Skipped — when a stop is skipped.
- Tech On The Way — technician dispatched.
- Job Quote — quote sent to the client.
- Job Reminder — reminder before a scheduled job.
- Invoice Message — invoice sent to the client.
- Invoice Reminder — reminder for an unpaid invoice.
- Invoice Thank You — thank-you after an invoice is paid.
Each template exists in three tones — Formal & detailed, Friendly & standard and Casual & brief — and each variant carries a status from the Legend: Not Synced, Pending, Approved or Rejected. You pick which tone to send from the matching message screen: Messages for the visit and welcome messages (13.7), Jobs & Quotes → Configure for job messages (Section 3), Invoices → Configure for invoice messages (Section 6), and Client Portal → Client Welcome for the portal invitation (Section 21).
A banner above the table summarizes the state:
- Setting up your templates — templates are being created; click Sync Templates if any are missing.
- Templates pending Meta review — usually up to 24 hours; click Refresh Status to check.
- Some templates need attention — one or more were rejected or have a variable mismatch; click Sync Templates to resubmit.
The action buttons are Send Test Message (choose a template and variant, enter a destination phone in international format such as +15551234567, and see a preview before sending), Refresh Status and Sync Templates. Sync Templates is disabled when every template is already approved.
Note: The templates’ language follows the phone number’s country when you connect (a +55 number gets Portuguese (Brazil), anything else English (United States)) and afterwards follows your company Locale when that locale is one of those two. The template text itself is read-only — Meta approval depends on it — so you choose a tone rather than editing the words.
