The list shows Job ID, Property, Subject, Status, Start Date and Actions — plus a Job Type column when Show job type is on — with All / Draft / Scheduled / Done / Missed filters and a date range.
Note: A job reads Scheduled only once it has been placed in a stop order on a day’s route — giving it a start date on the job itself is not enough. So a client can see a job that still says Draft but already carries a date, and that same job will appear in Upcoming Jobs on their Home page, which goes by the date. It is worth knowing which of the two your office is looking at when a client rings to ask whether their work is booked.
Note: Only jobs you have sent to the client as a quote, with client approval requested, appear in the portal. A job your office schedules internally stays private — clients see work you have put to them for approval, not your whole schedule. That is why the Jobs list can look emptier than your Scheduler.
The ⋮ at the end of each row offers PDF and Print, so a client can save or print a quote without opening it.
Clicking a job opens it:
- PDF and Print.
- Approve and Deny in the top right.
- Your business details, the job ID, property, assigned technician and start date.
- Line Items with quantities, unit prices, tax and Total.
- Notes — the client-facing notes you wrote on the job.
Approving or denying
Approve and Deny are available both on the list row and inside the job. Either one asks the client to confirm first, naming the job, so a mis-click costs nothing.
Once confirmed, PSS confirms with Approved — Your job quote has been approved (or Denied), and the buttons on that row are replaced by Client Approved (or Client Denied) and the date and time, which is the same stamp your office sees on the job in PSS. A quote your office approved on the client’s behalf shows Manager Approved instead.
Your office is notified, schedules the work, and from then on the job carries its start date in the portal and appears in Upcoming Jobs on the client’s Home page.
If the job moved on first. A client sitting on a stale page can press Approve after your office has already dealt with the job. PSS refuses and says which of these happened, rather than recording an approval against a job that no longer wants one:
- “Cannot update approval for a cancelled job.”
- “Cannot update approval for a completed job.”
- “Job has already been approved internally and cannot be changed.” — someone in your office approved it on the client’s behalf.
- “Job is not awaiting approval.” — the catch-all, including a decision the client already made in another tab.
