The Clients area has four views, switched using the icons at the top-left of the screen:
- Client Profiles (the person icon) — the default view. A searchable list of clients runs down the left; clicking one opens that client’s full profile on the right (see 1.4).
- Client List (the list icon) — every client in one sortable, configurable table (see 1.13).
- Property List (the building icon) — every property in one sortable, configurable table (see 1.14).
- Client Reviews (the star icon) — every rating and comment your clients have submitted (see 1.15).
Common controls appear across these views:
- Add Client — creates a new client (and, optionally, their first property). See 1.3.
- The client count in parentheses (for example, (10)) shows how many clients match the current filter.
- Search client… — type a name to filter the list as you go.
- The filter icon (the funnel, next to the count) narrows the Client Profiles list (see below). The icon is filled in when a filter other than the default is active.
Filtering the Client Profiles list
Click the funnel icon to replace the client list with a filter panel. It has three collapsible groups:
- Client Filters — Status, Client Type, Auto Pay Enabled, Online Processing Fee Enabled, QuickBooks Online Sync Enabled, Has recurring Invoice, and Payment Methods (No Payment Methods, Cards, Cards (Expired), Cards (with Errors), Bank Accounts, Bank Accounts (In Process), Bank Accounts (with Errors)).
- Property Filters — Tags, Status (Active / Paused / Temp Moved), Property Type, Service Route Days, Technicians, and Service Frequency. A client is listed when at least one of their properties matches.
- Sorting — Sort Order 1 lets you sort by First Name, Last Name, Display Name, Status, Client Type, Created Date, or Modified Date, in Ascending (A-Z, 1-9) or Descending (Z-A, 9-1) order.
Click OK to apply, Reset to return to the defaults, or Cancel to close the panel without changes.
Note: By default the Client Profiles list shows Active clients only, sorted by Display Name. If you cannot find a client you know exists, open the filter and add Inactive to the Status filter.
The client row menu
Each client in the Client Profiles list has a … menu with quick actions:
- Follow — subscribe to notifications about this client (see Section 9).
- Client Portal — open the Client Portal window to invite the client or manage their portal access (see Section 21).
- Edit — open the Edit Client form.
- Delete — remove the client. If the client has properties, PSS warns you that the properties and their routes will be removed too, and asks you to confirm.
Two indicators may also appear on a row:
- A red line such as ($150.00, 12 days late) under the name shows the client’s total late balance and how overdue the oldest invoice is.
- A globe icon shows the client has been invited to the Client Portal—blue when they are Active on Client Portal, orange with a clock when the Client has not accepted portal invitation yet.
