- Select your recipients, check View Recipients, and complete the message. PSS will not open the confirmation until recipients, Reply To, Subject and body are all filled in.
- Click SEND TO CLIENTS.
- The Confirm window checks your account’s sending allowance and then asks Are you sure you want to send this message to N recipients?, showing your Daily email quota: X / Y remaining underneath. Click YES, SEND to send, or Close to go back.
What happens next depends on the size of the list:
- 20 recipients or fewer — the emails are sent immediately and you see Message sent successfully.
- More than 20 recipients — the send is queued and processed in the background. You see Your announcement is being sent in the background. You will receive an email when the process is complete. Only one background announcement can run at a time; if one is still in progress you are asked to wait for it to finish.
Note: There is no undo once you click YES, SEND. Read the recipient count carefully — the button label says “clients”, but the same button sends to any team members you selected.
Sending limits
Two limits protect your account’s email reputation, and the Confirm window tells you where you stand before you send:
- Recipients per announcement — five times the property count of your subscription plan, with a minimum of 50 (accounts on a free trial or without a plan are capped at 50). If your list is larger, the send is blocked with the message You have exceeded the maximum number of recipients (N) for announcements and PSS support is notified. Contact support if your business genuinely needs a higher cap; a custom limit can be set on your account.
- Daily email quota — announcements share your company’s daily email allowance with invoices, service reports and other PSS emails. The window shows a warning when you are close to, or past, the day’s allowance; when it is exhausted, some emails may not be sent.
Sending is also blocked while your subscription is expired.
