The Select Recipients area at the top of the page decides who gets the email. Click the Select option box to open a searchable list of recipient groups and individual clients; pick as many entries as you like. Each one appears as a green chip in the box — click the × on a chip to remove it. PSS combines all your selections into one list and removes duplicates, so a client who matches two groups receives the email once.
The list contains, in this order:
- Client status — All_Active_Clients, All_Inactive_Clients, All_AutoPayON_Clients, All_AutoPayOFF_Clients and All_HasRecurringJob_Clients (active clients with at least one Recurring Job).
- Client type — one All_… entry per client type in your account (for example All_Residential, All_Commercial), matching the Client Type on the client record (section 1).
- Route day — All_Routes_Monday through All_Routes_Sunday: active clients whose properties have a service route stop on that day.
- Job status — All_Jobs_Scheduled and All_Jobs_Missed: clients with a job currently in that status.
- By technician — All_Work_Tech_[name] for every technician who has a scheduled or missed job or a service route, plus **All_Work_Tech_[name]_[Day]** entries for each weekday when the tech has a route. The all-days entry includes the tech’s job clients and route clients; a day entry includes only that day’s route clients.
- Team — All_Team_Members, then Team_[name] for each team member. Team includes everyone on your Team page who has not been removed — office staff and technicians, including pending invitations — but never clients.
- By tag — Tag_Properties[tag], Tag_Invoices[tag] and Tag_Jobs[tag] for every tag in your account: clients whose properties, invoices or jobs carry that tag.
- Individual clients — every active client who has an email address on file, listed by display name.
The group names really do appear with underscores, exactly as shown above — start typing part of a name (for example Routes or a tag name) in the box to jump to it.
The All / Mon–Sun buttons
The row of buttons to the right of Select Recipients — All, Mon, Tue, Wed, Thu, Fri, Sat, Sun — are shortcuts that add or remove a group with one click rather than filters:
- All adds (or removes) All_Active_Clients.
- Mon through Sun add (or remove) the matching All_Routes_[Day] group.
A selected button turns green and its group appears as a chip in the recipient box; clicking it again removes the group. You can mix the buttons with anything else chosen from the dropdown.
