The Catalog is your company’s master price list: every product you sell, service you perform, and fee you charge, each with a name, a default price, and its tax behavior. Whenever anyone in PSS adds a line item — to a job, a quote, an invoice, a recurring invoice or charge, a route visit, or a shopping list entry — they pick from this list, and PSS fills in the description, price, quantity and taxable flag for them.
Keeping the Catalog complete and tidy pays off everywhere else in the product:
- Consistent pricing — office staff and technicians charge the same price for the same work.
- Faster data entry — one click fills a line item instead of typing a description and price from scratch.
- Clean accounting — a catalog item linked to a QuickBooks Online product or service maps invoice lines to the right QBO item automatically (section 4).
- Inventory and technician pay — an item can track its stock count and carry a per-unit commission, both of which PSS updates for you as the item is used.
Note: The Catalog is available to the Admin, Manager, Company Admin and Company Manager roles. Technicians cannot open it on the web, but they do pick from it in the mobile app when they add items to a visit or a job; whether a tech sees item prices there is controlled per team member by Allow Catalog Pricing Access (section 8).
