- Click + Add New in the top-right corner of the Catalog page.
- Fill in the item form:
- Vendor — optionally choose the vendor you buy this item from (section 17).
- Item Type* — Product, Service, or one of your own item types.
- Item Name* — up to 120 characters; this is what appears on line items.
- Description — the default description copied onto line items. Keep it short and client-friendly, since clients see it on invoices.
- Quantity* — the default quantity pre-filled when the item is added to a line (0 to 100,000).
- Unit Price* — the selling price per unit (0 to 100,000; negative prices are not allowed).
- Is Taxable* — Yes or No. When a taxable item is added to a job or invoice, the line follows whatever taxes that job or invoice has configured; a non-taxable item gets none.
- Track Inventory — Yes or No. Choosing Yes reveals the Inventory Count field; enter your current stock. See 12.8 for how the count changes.
- Item Number — an optional SKU or part number. It is searchable on the Catalog page, and the office sees it in brackets next to the item on job line items; clients never see it.
- Unit Cost — what the item costs you. It is never shown to clients. PSS keeps a dated history of every cost change, so past jobs and invoices remember the cost that applied at the time.
- Tags — choose one or more tags to group items. The list is your company’s shared tag vocabulary (the same tags used on jobs, properties and invoices).
- Default Job Duration — Hours (0–24) and Minutes (0–59) this item adds to a job’s estimated duration. Below the fields PSS shows “The computed per unit duration is X hrs Y mins.” — the duration divided by the default Quantity. When the item is placed on a job, its per-unit duration is multiplied by the quantity on that line and added to the job’s Job Duration (section 3).
- Tech Pay — switch on to pay technicians a commission on this item, then enter the Pay Amount (per Unit). On a job whose Tech Pay calculation method is Catalog Tech Pay, PSS adds up pay amount × quantity for every line item that has Tech Pay enabled (section 3).
- Click Save. A green Successfully created new record message confirms the item was added and the list refreshes.
Note: Fields marked with an asterisk (*) are required. An item cannot be saved without an Item Type, Item Name, Quantity, Unit Price and an Is Taxable choice. If a value is out of range, the message appears under the field when you click Save.
