Columns
By default the table shows three columns: Item Name, Vendor and Item Type. Click the column picker (the list icon to the right of the search box, tooltip Choose columns) and tick or untick any of the following. Your choice is remembered the next time you open the page.
- Vendor — the supplier the item is sourced from, if you linked it to a vendor record (section 17).
- Item Name — the name that appears on line items.
- Description — the default description copied onto line items.
- Item Type — Product, Service, or one of your own item types (see 12.4).
- Quantity — the default quantity pre-filled when the item is added to a line.
- Unit Price — the selling price per unit.
- Is Taxable — Yes / No: whether tax applies to the item by default.
- Track Inventory — Yes / No: whether PSS keeps a stock count for the item.
- Inventory Count — the current quantity on hand (only meaningful when Track Inventory is Yes).
- Item Number — your internal SKU or part number.
- Unit Cost — what the item costs you; never shown to clients.
- Tech Pay — Yes / No: whether technicians earn a per-unit commission on the item.
- Pay Amount (per unit) — the commission amount per unit sold (blank when Tech Pay is No).
- Default Job Duration — the time estimate the item adds to a job (see 12.5).
Click the chevron at the start of a row to expand it and see every column you have not selected, so you can check a value without changing your column layout.
Row icons and the action menu
A chain-link icon at the start of a row means the item is Linked with QBO — it is paired with a QuickBooks Online product or service (see 12.9). Hover over a row to reveal the three-dot menu at its far left, which offers:
- Edit — open the item form to change any field.
- Duplicate — open a pre-filled copy of the item to save as a new item.
- Delete — permanently remove the item.
Searching
Type in the Enter Keyword box to filter the list as you type. The search matches the Item Name and Item Number columns only — it does not look at descriptions, vendors or item types. When you type more than one word, an item must contain all of the words. Click the × in the search box to clear it.
