If your company syncs with QuickBooks Online, each PSS catalog item can be linked to a QBO product or service. A linked item shows the chain-link Linked with QBO icon at the start of its row, and when an invoice containing it is sent to QBO the line maps to that QBO item automatically.
All linking is done from Settings → QuickBooks Online, not from the Catalog page:
- Import Catalog Items from QBO creates PSS catalog items from your QBO products and services (Service items become Service, everything else Product) and refreshes already-linked items with the latest QBO name, description, SKU, rate, unit cost and taxable flag.
- Manage Catalog Connections pairs items that already exist on both sides so the import does not create duplicates. Items you mark Do not link stay in PSS without a QBO counterpart and show no link icon.
- The 3. Catalog sync rules decide whether items added or updated in QBO flow into PSS automatically.
