When Track Inventory is Yes, PSS keeps a running Inventory Count for the item and adjusts it automatically as the item moves through your workflow:
- Decreases by the quantity used when a technician (or the office) records the item on a route visit or a job.
- Increases by the quantity bought when a shopping list entry for the item is marked Purchased (section 14).
- Decreases again when a shopping list entry for a client is marked Done — the part has left your stock and gone to the client’s property.
- If a recorded quantity is later edited, the count is corrected by the difference.
Items with Track Inventory set to No are never counted, even if they appear on visits and shopping lists. You can also correct the count by hand at any time: edit the item and type the new Inventory Count.
To be alerted when stock runs low, add a Low Inventory rule in the Control Center (section 10): pick the catalog items to watch, choose < or <=, and enter the number of items. When a tracked item’s count drops below the threshold, PSS raises a Low Inventory Detected notification (section 9).
Note: Turn inventory tracking on only for physical goods you actually stock — chemicals, parts, equipment. Services have no stock count, and tracking them only creates noise in the Control Center.
