- Agree on naming before you start. If the list mixes “Pool Cleaning”, “pool cleaning” and “Pool cleaning svc”, techs will pick the wrong one and pricing will drift. Search only matches Item Name and Item Number, so put the words people search for in the name.
- Fill in Unit Cost on every product, even if you do not report on margin today; PSS keeps the cost history from the day you enter it.
- Use Item Number for anything you re-order — it is what the QBO catalog linking screen matches on first, and it shows to the office on job line items without cluttering the client’s view.
- Tag by category (Chemical, Equipment, Repair Part) so long lists are easier to scan.
- Duplicate instead of re-typing when you need a price variant of an existing item.
- Think before you delete. Deletion is permanent and cannot be undone from the UI; renaming an item you no longer sell is safer than removing it.
