Visits are normally created for you when route stops and jobs are completed, so you will not often add one by hand. When you do need to—for example, to record work done that was not scheduled in PSS—use the Add Service Visit button above the visit list.
The drop-down arrow beside the button offers two choices:
- Add Service Visit — log a service route visit for a property.
- Add Job Visit — log a visit against an existing open job.
In Side-by-side view the form opens in the detail pane on the right; in List view it opens in a window over the table. The fields are:
- Job ID (job visits only) — search for and pick the open job the visit belongs to. Choosing the job fills in the client, property, and assigned technician for you.
- Choose Client & Property — search by client name; each option shows the client and the property (body of water) with its address.
- Completed By — the technician who did the work.
- Assigned To — the technician the work was assigned to (filled in from the job for job visits).
- For Service Day (service visits only) — the day of the week the stop belongs to on the route.
- Actual Done Date, Actual Start Time, and Actual Finish Time — when the work was actually performed.
- Skipped (service visits only) — Yes or No. Choosing Yes reveals a Select reason drop-down; a skipped visit must carry a reason, and the readings and dosages fields are hidden while it is marked skipped.
- Tech Comment — free-text notes.
- Readings and Dosages — the property’s configured readings and chemicals, loaded once you pick the property (or the job). Alkalinity is marked Needed for LSI, and an FC-CYA hint appears once Free Chlorine and CYA are both entered.
- Before Media Items, After Media Items, and Review Media Items — click + in each group to attach photos or videos from your computer.
- Line Items (job visits only) — tick the job’s line items that were completed on this visit.
- Checklist — tick off the property’s checklist items; items that require a photo are flagged Photo is required.
- Extra Items — add extra billable items (see 7.5).
Click Save to create the visit, or Close to discard it. You must pick a client and property, and a visit that is not skipped needs an Actual Start Time. Once saved, the visit appears in the list and behaves exactly like an automatically generated one—it is flagged with the Visit created on the web icon (see 7.2).
Note: When you Edit an existing job visit, the Job ID cannot be changed and a read-only Scheduled Date is shown for reference. Job visits are scheduled from Jobs & Quotes (see 3), not from here.
