Click a visit in the list to open its full record on the right. The detail pane gathers everything captured for that visit, from the map at the top to the activity log at the bottom.
At the very top, an action bar gives you:
- Edit — change the visit’s details (the same form as 7.4).
- Send Visit — email or text the visit report to the client (see 7.6).
- More Action — print the visit, save it as a PDF, or delete it (see 7.7).
Just below, a job visit shows its Subject line (the heading that appears on the visit report) and the Job ID on the right. A service route visit instead shows its schedule, for example Service on Sat (Every 1 Week).
Visit Map and General Info
This top panel pins down the where, who, and when of the visit:
- A map plots the Property Location together with the Tech’s Check In and Tech’s Check Out points, so you can see at a glance whether the technician was at the property.
- General — the Property Name (the body of water, e.g. South Pool), the Type (e.g. Residential), the Address, any Property Tags, the Pool Volume, and the Client Rating (the client’s emoji rating of this visit; click the emoji to see details, or No ratings yet if the client has not rated it). Client Rating appears only when Client Reviews is turned on for your company.
- Contact — the Client (name, email, and phone), the Manager responsible for the property (name, email, and phone), and the property’s Alternative Contact, if one is set.
- Start Time, Finish Time, and Duration — when the technician began and finished, and how long the visit took.
- Check-IN and Check-OUT — how far from the property the technician was when they checked in and out (for example, 25 feet away), shown as N/A if the technician did not check in or out.
- Status banners confirm Work completed by (the technician who finished it, with a green check). If the visit was assigned to someone else, a second banner, Work assigned to, names that technician.
Tech Comment, Readings, and Dosages
Beneath the general info are the details a technician records on site:
- Tech Comment — free-text notes the technician left about the visit.
- Readings — the water-chemistry readings taken (for example, pH or chlorine), including the calculated LSI. View Trends charts a reading over time. Shows – No Readings – when none were logged.
- Dosages — the chemicals added and their amounts, with the visit’s total chemical cost beside the heading as (Visit Cost: $x.xx). View Trends charts dosing over time. Shows – No Dosages – when none were logged.
Trends Analysis (View Trends)
The View Trends link beside Readings and Dosages opens the Trends Analysis window, which charts a property’s water chemistry and chemical use over time—useful for spotting drift before it becomes a problem. The property’s pool volume is shown at the top for reference.
- A Readings tab and a Dosages tab switch between water-chemistry readings and chemical dosages.
- A Date range (From / To) sets the period charted.
- A Reading / Dosage drop-down picks the single measure to plot (for example, LSI, Free Chlorine, pH, or a specific chemical). The graph draws that measure across the date range; if nothing was recorded, it reads No data available.
- Above the chart, Average, High, and Low badges summarize the selected measure over the chosen range.
- A History Table below lists every reading or dosage type with its values over the period, and the CSV icon exports the table.
Media
A visit can carry photos and videos, grouped by when they were taken:
- Before Media Items — media captured before the work.
- After Media Items — media captured after the work.
- Review Media Items — media flagged for review.
Each group has a + to add media from your computer, and each item shows its source (From Gallery, From Camera, or From Computer) with a trash icon to remove it. Click a photo to open it full-size; from there you can step through the group and click See location on map to see where the photo was taken.
Line Items, Checklist, and Extra Items
The remaining sections cover what was billed and what was checked off:
- Line Items (job visits only) — the job’s line items completed on this visit, each with its quantity. Shows No line items when none apply.
- Checklist — the checklist items for the visit, if a checklist is used. An item that required a photo shows the photo the technician took (click it to view). Shows – No Checklist Items – when none apply.
- Extra Items — additional billable items added to the visit, listed with their Item Name, Amount, Added By, and Status. Click Add Extra Item to create one; a list/grid toggle changes how they display.
Activity Timeline
At the bottom, the Activity Timeline is the visit’s audit trail—a dated history of everything that has happened to the record, newest first. The count in the heading shows how many entries there are, and each entry names who performed the action and when. The events it tracks are:
- Visit Created — the visit record was first created.
- Visit Updated — the visit was edited after it was created.
- Visit Sent — the report was sent to the client, listing the recipients it went to.
- Visit Viewed — the client opened the visit report. When the report was opened from an emailed link and PSS cannot tell who opened it, the entry reads Report link opened instead.
- Visit Rated — the client left a rating; expand Customer Rated Details to see their emoji and comment.
- Visit Skipped — a scheduled visit was marked skipped.
Note: The Activity Timeline is where you confirm whether a visit was created or edited (and by whom), and whether the client has received, viewed, or rated the report.
Skipped visits
A skipped service route visit has a shorter record: instead of the map and general info it shows the Skipped Reason and the Tech Comment, followed by any Before Media Items the technician attached, and its history panel is titled Visit History rather than Activity Timeline.
