A Quote is a job you send to the client for approval before doing the work. It is not a separate object type in PSS — it is simply a job that has had a quote sent. This means everything you can do with a job (line items, attachments, scheduling) applies to a quote too.
- Create the job using the steps in 3.3. You can save the job without a Start Date or technician if you only want to send a quote at this stage — it stays in Draft.
- In the line items, add the services, products, and fees you are quoting. Confirm the prices are pulled correctly from your Catalog.
- Open the saved job to reveal the Job Details view.
- Click Send Quote (the button at the top right of the Job Details view). The Send Job Quote window opens.
- Turn on the channels you want. Each is a card with its own switch:
- EMAIL — Email Address (one or more, separated by commas; pre-filled with the client’s email), Subject, and Message, all pre-filled from your Settings > Messages > Job Quote template.
- SMS — Mobile Number and Message (a link to view the quote online is added automatically).
- WhatsApp — appears only when a WhatsApp Business account is connected; uses a fixed, pre-approved template.
- Review Cost Details — a read-only summary of Subtotal, Tax, Discount, Required Deposit, and Total.
- Under Client Approval, check Request client approval for this Job Quote? if you want the client to approve or decline online. This unlocks three options:
- Automatic Quote Reminder — Enable quote reminders when client approval is requested, then set Days in Between reminders and the Maximum Reminders count.
- Automatic Draft Job Cancellation — Enable automatic draft job cancellation when approval is not received by a certain date, then set the Cancels On date.
- Quote Expiration — Enable an expiration date and pick the date after which the quote is no longer valid.
- Click Send.
Once the quote is delivered, the button changes from Send Quote to Re-send Quote, which you can use to re-deliver if the client misplaces the original. PSS records when the client opens the quote (Job Viewed in the Job History).
When the customer approves the quote through the public web view, the job shows a green thumbs-up on its card, a CLIENT APPROVED banner on the Job Details window, and Job Approved (Client) in its history. A decline shows CLIENT DENIED. From there you schedule it and run it like any other job. You can also approve internally with More Actions > Mark as Approved (see section 3.9).
Note: A quote saved without a Start Date stays off the Scheduler calendar until it is accepted and a date is set. This lets you build a backlog of pending quotes without cluttering the day-to-day calendar view.
