A Recurring Job is a template that automatically generates new job instances at a defined interval — perfect for quarterly equipment inspections, monthly filter cleans, annual openings, or any work that repeats on a predictable cadence.
- On the Jobs page, switch to the Recurring Jobs tab.
- Click Add Recurring Job.
- Configure the top-level fields:
- Job for — required. The client and property this recurring job applies to.
- Assigned To — the technician who runs each generated instance.
- Tax 1, Required Deposit, Discount — financial defaults applied to each generated instance (Apply another tax reveals Tax 2).
- Subject and Job Type (required) — the description and category.
- Job Duration — the hours and minutes each generated instance is expected to take.
- In the Options: section, set the recurrence behavior:
- Start Date — the date of the first occurrence. It must be tomorrow or later.
- Frequency — express the interval as Every
[N]day(s) / month(s) / year(s). - Duration Type — pick one of:
- Single Day — each occurrence is a one-day job.
- Multiple Days (Continuous) — each occurrence is N consecutive work day(s).
- Multiple Days(Pattern) — type a pattern of
S(scheduled day) andO(off day), for exampleSSOOS, to define which days inside the span are worked.
- Scheduling — pick one of:
- Save job as Draft in the jobs overview on the creation date (Draft status) — each instance lands in the jobs list as a draft for you to review and finalize.
- Automatically schedule job in the best stop order on the creation date (Scheduled status) — PSS places the instance on the technician’s day itself.
- Jump Ahead Option: — check to have PSS Try to find the property’s next service date as the start date for the new job, so the job lands on a day the tech is already at the property.
- Configure the Task Views: (Readings, Dosages, Checklist) — these are copied to every generated instance.
- Add Line Items: (services and products from your Catalog with quantities and prices) — these flow into every generated instance and onto its invoice. Attachments, Instruction Notes (only for tech):, Tags (optional), Client Notes, and Tech Pay (optional) are copied the same way.
- Click Save.
Note: The Scheduling choices and the Jump Ahead Option: are disabled until you pick a technician in Assigned To — an unassigned job cannot be placed on anyone’s day.
The new recurring template appears in the Recurring Jobs list. Use Search Recurring Jobs… and the filter dropdowns at the top of the tab — All Clients, All Technicians, All Job Types, All Tags — to find a specific template later. The table columns are Client, Assigned To, Job Type, Job Subject, Last Done (the last completed job’s reference and date, with how long ago), Open Job (the currently open instance’s reference, date, technician, and status), Next Job (Est.) (the estimated next date and its frequency, e.g. Every 3 Months), and Amount. Click a row to edit the template.
Two warnings can appear under Next Job (Est.):
- Blocked: previous job still open — the last generated instance has not been completed or cancelled, so PSS will not create the next one until it is resolved.
- Prop Paused: job will not run — the property is paused, so the template is stopped outright until service resumes.
