Capacity tells PSS how many hours each technician can work each day of the week. The Calendar Heatmap (section 3.7) and Geo-Scheduler (section 3.8) use capacity to color-code days that are over-booked, partially booked, or wide open.
PSS supports three capacity layers per technician, applied in order of specificity:
- General Work Capacity — the default per-day-of-week hours (Sunday through Saturday). This is the baseline.
- Upcoming Capacities — date-bounded overrides for specific future periods, used for vacations, reduced summer hours, or seasonal boosts. An Upcoming Capacity takes precedence over General Work Capacity for any date inside its range.
- Past Work Capacities — overrides whose date range has already ended. Kept for record-keeping; you can delete them individually or with Delete All.
To set General Work Capacity:
- Go to Team in the sidebar.
- Click the technician’s name.
- Click Edit.
- Scroll to General Work Capacity.
- For each day of the week (Sunday through Saturday), set the work hours using the time picker in
H:mmformat. Leave a day blank to keep it as Not Set. - The form continuously displays the running Total: X hours for the week so you can sanity-check the load.
- Click Save.
To add an Upcoming Capacity (for example, a vacation or a temporary schedule change):
- From the same edit view, scroll past General Work Capacity to the Upcoming Capacities section.
- Click + Add New.
- Configure:
- Date Range — the From and To dates the override applies to.
- Sunday through Saturday — the override hours for each weekday within the range. Use
0:00to mark a day fully off.
- Click Done, then Save the team member. During the date range, this entry overrides the general one; outside the range, capacity returns to the General Work Capacity defaults.
