The fastest path to a new job is from the Scheduler view of the Jobs page.
- Go to Jobs & Quotes in the sidebar (under Work Management).
- The Scheduler tab opens by default.
- Click + Add Job. To start from a saved template instead, click the dropdown arrow next to the button and pick Add Job from Template: the Add Job From Template window lists your Recent Templates and every template under Choose a template to start, each with its job type, total, duration, and a Single Day / Multiple Days badge. Select one and click Next Step.
- Fill in the Add Job form (it opens in the center panel):
- Job ID — generated automatically from your last job number (the hint reads (Last Used WPJ0011)); you can type a different unique ID.
- Tax 1 — the primary tax rate, pre-filled from your account (or the client’s stored rate). Click No tax to remove it or Apply another tax to reveal Tax 2.
- Client & Property — required. Search and select the client; if the client has several properties, pick the one the work happens at.
- Required Deposit — the deposit percentage required up front (pre-filled from your Default Values).
- Discount — an optional percentage discount applied to the subtotal.
- Subject — a short one-line description of the work. It appears on the client-facing quote and completion report.
- Job Type — required. Pick a color-coded category (set up in Settings > Job Types).
- Readings View / Dosages View / Checklist View — the task views the tech works from during the job. They default to the property’s Task Views; override here if this specific job needs different ones.
- Instruction Notes (only for tech): — internal notes the technician sees on the mobile app; never visible to the client.
- Tags (optional) — multi-select labels you can later filter on in the Job List.
- Tech Pay (optional) — switch on to set per-job technician pay. Choose a Calculation Method: (Fixed, Percentage, Hourly, or Catalog Tech Pay) and a Pay Amount.
- Client Notes — notes that appear to the client on quotes and reports.
- In the Job Scheduling section, choose Single Day or Multiple Days, then:
- Start Date — pick the day. The (next service date) link fills in the property’s next service route date. For a multi-day job, pick a Date Range (From / To) instead; each day then appears as its own box with its own duration.
- Job Duration — the estimated time in hours and minutes.
- Assigned To — the technician. Leave it empty to save the job as a Draft.
- Below these fields, Stops on [date] lists everything already on that technician’s day with a Total Work: figure. Drag the Current Job card into position — or use Drag Here to Schedule Job / OR click here to schedule — to choose its stop order. Drag Here to Unschedule Job / OR click here to unschedule takes it back off the day.
- Under Line Items, click Add Item and pick a catalog item (or type a description) with its quantity and unit price. Each row shows Item Type, Description, Quantity, Unit Price, Amount, and a Tax 1 checkbox; the table totals Subtotal, Discount, Tax 1, Total, and Required Deposit automatically. A line item can be linked to a shopping item so the part is bought before the job.
- Optionally add Attachments (reference photos, PDFs, with Show the attachment to the client / Show the attachment to the tech toggles), Shopping Items (parts the tech needs on the truck; they also appear on your Shopping List), or Extra Items (ad-hoc billable additions).
- Click Save Job (or Cancel to discard).
The new job appears on the Scheduler immediately — color-coded by Job Type, and placed on the assigned tech’s day.
Editing a job
Open the job and click Edit Job. The same form opens pre-filled; the save button now reads Update Job. A job that is Done or Cancelled shows Re-Open Job in place of Edit Job — reopen it first if you need to change it. If you leave the form with unsaved changes, PSS asks you to confirm before discarding them.
