Open any job from the Job List tab, click View Job on a Geo-Scheduler card, or click into the job card from the Scheduler to bring up the full Job Details view. In the Scheduler it fills the center panel; from the Job List and Geo-Scheduler it opens as a Job Details window with PDF and Print buttons in its header and, when relevant, a CLIENT APPROVED, CLIENT DENIED, MANAGER APPROVED, or WAITING APPROVAL since… banner. Both show the same content, top to bottom:
- Top line — the property’s service route summary (e.g.
Service Tuesday (Every 1 Week) - Next on Jul 28) and All Open Invoices: for the client. - Header bar — Edit Job (or Re-Open Job for a Done or Cancelled job), More Actions, and Send Quote / Re-send Quote.
- Last Activity: — the most recent history entry, who did it and when, with a View History link that jumps to the Job History section.
- Job card — From: (your company), Start Date:, End Date: (multi-day), Stop Order: (or Multiple Stops), Est Duration:, Act Duration: (once done), Subject:, Job Type:, Job ID:, Client:, Property:, Assigned To:, Invoice ID (when linked), and Tech Pay: (when set), with a large status stamp.
- Line items table — Item Type, Description, Quantity, Unit Price, Amount, with Subtotal, Discount, Tax, Tax2, Total, and Required Deposit. Icons mark items that are linked to an invoice or to a shopping item.
- Instruction Notes (Tech only):, Readings View:, Dosages View:, Checklist View:, Tags (editable in place with Add tag), and Client Notes:.
- Work Tracker — collapsible section with the header summarizing progress (e.g.
Work Tracker (3 days, 1 of 3 DONE)). - Job History (N) — collapsible section showing the audit trail.
- Attachments (N) — collapsible section for photos, videos, and PDFs.
- Shopping Items (N) and Extra Items (N) — collapsible sections for materials.
More Actions menu
The More Actions dropdown gathers everything else you can do with a job. Items appear only when they apply to the job’s current state:
- Follow — opens a sub-menu of notification events you can subscribe to for this job: Technician On My Way, Job Client Approved, Job Client Disapproved, Job Viewed, Job Assigned, Job Completion Viewed, Job Request Submitted, Job Visit Started, Job Visit Completed, Job Visit Updated, and Job Stop Missed. Tick an event to be notified when it happens on this job (see section 9).
- Create Invoice — generates a new invoice from this job’s line items (shown while no invoice is linked).
- Link Existing Invoice — attaches this job to an invoice already in the system; once linked, the item becomes Unlink Invoice.
- Mark as Approved / Remove Approval — records or removes an internal manager approval on an open job. Approving a Requested job moves it to Draft.
- Mark as Done — opens the Mark as Done window where, for each scheduled day, you enter the Actual Done Date, Actual Start Time, Actual Finish Time, and optional Done Notes, then Save. Use this to close a job from the office without the mobile app. Available once a technician is assigned.
- Resend Job Completion — re-sends the completion report (Done jobs only).
- Send Job Reminder — sends the reminder message now (Scheduled jobs only).
- Duplicate — creates a copy of this job with a new Job ID.
- Mark as Cancelled — closes the job without billing.
- Config Job Options — on a job created from a Job Template, adjusts that job’s own Invoicing and Completion Report overrides (for example Do not invoice dosages for this job or Require a photo when completing a job stop).
- Print — sends the job detail to your printer.
- PDF — downloads the job detail as a PDF file.
- Delete — permanently removes the job. For a multi-day job, PSS warns that every day will be deleted.
Work Tracker
The Work Tracker expands to a per-day card for each day the job ran. Every day card includes:
- The work date, stop number (
Stop 3.1), and a status badge — DONE once the day is closed, or (REOPENED) if the day was reopened after being marked done. - Start and Finish timestamps along with the calculated total work duration.
- The name of the technician who closed the day (Completed by [name]) and a Show Visit on Map link.
- Before Media Items, After Media Items, and Review Media Items galleries, with + buttons to add media from the office.
- The technician’s per-day Notes: and a Line Items: checklist of catalog items checked off on that day.
Job History
A chronological audit trail with timestamps and user attribution. Entries include Job Created (One-off job), Job Created (Recurring job), Job Requested, Job Quote, Job Viewed, Job Approved (Client), Job Disapproved (Client), Job Approved (Manager), Job Approval Removed (Manager), Job Scheduled, Job Updated, Job Reminder (auto) / (manual), Job Done, Job Completion Sent, Job Re-open, Job Cancelled, and Office Notification Added. Use this when you need to reconstruct exactly what happened on a job.
Attachments
Photos, videos, and PDFs uploaded against the job — by the office when creating the job or by the technician from the mobile app during the visit. Click Add Attachment to add more; each attachment has a name, an optional description, and Show the attachment to the client / Show the attachment to the tech toggles. Click any attachment to preview or download it.
Shopping Items and Extra Items
These two sections capture materials used on the job that need to be billed separately from the main line items:
- Shopping Items — parts and chemicals the tech needs before the job (Add Shopping Item: catalog item, item type, quantity, unit price, Is Taxable, description, notes). They appear on your Shopping List (section 14) and can be marked Mark as Purchased / Mark as Done.
- Extra Items — ad-hoc items added during the visit, such as an unexpected O-ring used during a repair (Add Extra Item).
Both flow into invoicing. Invoicing is covered in section 6.
Cross-job views
To see all completed (or in-progress) jobs across techs and clients, use the Job List:
- Go to Jobs & Quotes.
- Switch to the Job List tab (list icon).
- Narrow the table with Search Jobs… and the filter dropdowns:
- All Jobs — by status: Open Jobs, Closed Jobs, Draft Jobs, Requested Jobs, Scheduled Jobs, Missed Jobs, Cancelled Jobs, Done Jobs.
- All Clients, All Technicians, All Tags.
- All States — by approval: All Approved, Approved (Client), Approved (Manager), Waiting Approval, Not Requested.
- All Time — Month, Quarter, Year, or Custom (a From / To date range). The range matches on the job’s start, created, and done dates.
- Click any row to open that job’s Job Details window.
The table columns are Status (with the approval icon), Job Type, Start Date (with the subject beneath it), Client (with the property beneath it), Job ID, Assigned To, Amount, Created Date (with who created it), Balance (or No Invoice Yet), and Invoice. Click the column headers to sort, and use the column-chooser button beside the search box to hide columns you do not need. In the Invoice column, a linked invoice’s number opens that invoice; otherwise a New Invoice button lets you bill a completed job without opening it.
